1. The Agreement
These terms apply to all in-home decluttering, system design, and home organisation services provided by The Ruby Reset to the client. Booking a session or paying an invoice confirms your acceptance of these terms.
2. About The Ruby Reset
Structure: The Ruby Reset is a professional home organising business operated by Karen Carson, a self-employed sole trader in Scotland (“I”, “me”, “my”). Full business details will appear on your invoice or booking confirmation.
Credentials: I am registered with the Information Commissioner’s Office (ICO) for data protection purposes, hold appropriate public liability insurance, and hold a current check issued by the Disclosure and Barring Service (DBS).
3. Services Provided & Scope
I provide in-home organising services including:
Decluttering and organising spaces (such as kitchens, wardrobes, utility spaces, home offices, storage cupboards, or full-home resets).
Creating practical storage systems and planning layouts or room functionality based on flow-based placement.
Guidance on how to maintain systems after the session.
I do not provide:
Deep cleaning, furniture building, or physical installation.
Removal of rubbish and recycling following sessions.
Valuation of possessions (I am not qualified to value items and cannot advise on resale value, antiques, collectables, or financial worth. Seeking a specialist valuation is recommended before making decisions).
Legal, financial, medical, therapeutic, or safeguarding services.
Third-Party Providers: Where appropriate, I may suggest third-party providers (such as cleaners or removals), but I am not responsible for their work or any issues arising from using them.
4. Bookings & Contract Formation
A contract is legally formed, and these terms become fully binding, upon the occurrence of either of the following actions (whichever occurs first):
Your digital acceptance of these terms via our online checkbox system, or
The payment of your booking deposit.
5. Pricing, Payments & Travel
Fees: Services are billed at the current rates specified on our website or booking platform at the time of scheduling. Quotations are based on estimated operational density. If high-friction spaces require additional sessions to establish lasting, sustainable systems, these will be quoted and billed as separate service blocks.
Payment Terms: A 30% deposit is required to secure your booking. Planning, preparation, or storage recommendations will not begin until the deposit is received. The remaining balance is due on completion of the session.
VAT: I am not currently registered for VAT.
Travel: Sessions within my standard working radius are included in the quoted price. Travel outside this area may incur an additional fee, which will always be agreed in advance.
6. Cancellations & Rescheduling (UK Consumer Rights)
· 14-Day Cooling-Off Period: Under UK law, you have a statutory 14-day window from the initial booking date to cancel and receive a full refund.
· Sessions Booked at Short Notice (Within 14 Days): If you book a session that is scheduled to take place within 14 days of your booking date, you explicitly agree that my preparation work for you will start straight away. If you then decide to cancel after I have already started your administrative preparation, system mapping, or the physical session itself, your 30% deposit will not be refunded. This is to cover the time and work already invested in your project.
· The Cancellation & Rescheduling Windows:
o 5 Days or More: You must give at least 5 days' notice to cancel or move a scheduled session. Please note that a session can only be rescheduled on a maximum of two occasions. If you attempt to move a session for a third time, it may be treated as a full cancellation, your deposit will be forfeited, and a new booking deposit will be required to secure a future date.
o Between 48 Hours and 5 Days: Cancellations or changes made within this middle window may be charged in full or in part, entirely at my discretion.
o Less than 48 Hours: If you cancel or reschedule with less than 48 hours' notice, the full session fee becomes due. Because I block out an entire working day exclusively for your home, short-notice changes mean I cannot fill that slot.
· Provider Cancellation: If I need to cancel, I will give as much notice as reasonably possible.
7. Client Responsibilities & Cooperation
You agree to:
Provide safe, unobstructed access to the working areas of the property.
Inform me of any known structural or environmental hazards (such as pets, mould, unsafe flooring, etc.) and maintain appropriate home and contents insurance.
Arrange for the removal of all rubbish and recycling following the session.
Active Participation: The service acts as a decision buffer to reduce overwhelm and paralysis; however, you are required to participate in the necessary decision-making components of the process.
The Decision-Maker: You remain the ultimate decision-maker regarding your possessions. I will never remove, donate, or dispose of items without your explicit consent.
8. Session Structure & Breaks
For sessions longer than four hours, I will take one 30–60 minute unpaid lunch break. This ensures I can work safely, efficiently, and at full focus for the remainder of the session.
9. Health, Safety & Working Conditions
I may pause or refuse work if conditions are unsafe. To maintain standard safety rules, I do not:
Move heavy furniture or appliances.
Climb unsafe ladders or access lofts without proper flooring.
Carry out physical repairs or installations.
Pets: To ensure physical safety and allow for unhindered flow-mapping, pets must be safely managed or kept out of the immediate workspace while sorting or physical installation is actively taking place.
10. Limitations of Liability & Advice
Good Faith: All recommendations, storage suggestions, and organising advice are given in good faith based on experience and the information available at the time. You remain solely responsible for decisions made regarding purchases, disposal of belongings, or use of suggested products or services.
Structural/Property Damage: I am not a professional surveyor, specialised cleaner, or structural contractor. No liability is accepted for pre-existing structural defects, pre-existing damage, or accidental damage to fragile, worn, or incorrectly installed fixtures, unless caused by gross negligence.
Financial Limits: I provide services with reasonable care and skill. Liability is limited to foreseeable losses caused by negligence. Total financial liability will not exceed the total fee paid for the specific service block in question. Nothing in these Terms limits liability where it cannot legally be limited under Scots law.
11. Intellectual Property
All custom templates, flowcharts, digital guides, planners, and operational blueprints provided to you are the exclusive intellectual property of The Ruby Reset. They are for your personal, household use only and must not be copied, shared, or resold for commercial purposes.
12. Digital Consents, Privacy & Media
Data Control: I act as the data controller for your information, collecting only what is necessary to deliver services, communicate with you, and keep records. You hold the right to access, correct, or request deletion of your data and can complain to the ICO if required.
Photos & Confidentiality: I may take before-and-after photos to support planning, help you see progress, and maintain my professional records. These images remain strictly private and will only be viewed by me unless explicit digital permission is granted.
Automated Consent Gate: By checking the digital agreement box on our booking platform, you are explicitly confirming your preferences regarding the following two operational items:
Marketing Photo Release: You grant or deny permission for anonymised before-and-after photos (ensuring no identifiable personal items, family photos, or mail are visible) to be used for marketing on my website or social media. You may withdraw this consent at any time.
Mailing List Opt-In: You elect to join my occasional newsletter for blogs, organising tips, updates, and availability. You hold the right to unsubscribe instantly at any time via the link in those emails.
13. Termination
Either party may end services at any time, subject to payment for work completed and the cancellation terms outlined in Section 6.
14. Governing Law
These terms are governed by Scots Law, and any disputes will be subject to the exclusive jurisdiction of the Scottish Courts.
